Approval of Minutes

May 2026 minutes were approved.

Financial Report

The 2026-2027 fiscal year budget, covering July 1 through June 30, was presented. Based on projected winter player fees, summer player fees, and sponsor fees, projected income will be adequate to cover projected expenses, leaving enough net income to cover additional unforeseen expenses. After discussion of various income and expense line items, plus how SSSA pays County fees, a motion was made and the budget was approved.

Coordinator Updates

Wed A Nothing to report.
Thurs C Marc Galloway reported a doubleheader situation where three injuries occurred on the opposing team. Because the team still had nine players in game two but opted not to continue, the Board ruled game two a forfeit.

Board Member Jobs & Responsibilities

George Wacaser finalized the Jobs & Responsibilities table for Board members. After discussion, the Board decided that, for now, the table will not be posted to the website.

Old Business

IRS, 1099 Form & SSSA Non-Profit Status

Warren Hickernell reported on two options to revive SSSA’s non-profit status:

  • Option 1: Go back nine years to the last year SSSA reported its status, try to recreate records for those years, then file with the State and IRS to come current.
  • Option 2, Fresh Start Approach: Reclaim the SSSA name, file for a new EIN from the IRS, open a new bank account after the EIN is received, reinstate SSSA bylaws and Board resolutions, then complete annual filings with the State and IRS.

After discussion, on motion made, Option 1 was deemed unrealistic, and the Board approved Warren moving forward with next steps to implement Option 2.

Fall Golf Outing

Todd Schwartz is organizing a fall golf outing for Friday, September 25 at River Club Golf Course at $100 per person. Sixty to eighty players are expected. On motion made, the Board approved the outing. Additionally, each golf outing using the SSSA name and/or logo will require prior Board approval.

Softball Camp

October 24 through October 26 Softball Camp was approved by the Board on motion made.

Field Reservations & Closures

The Board and County are up to date. Todd Schwartz is the primary contact with the County.

Rule 15 — Refusal to Play

Rule 15 has been finalized and updated on the website. All rules are now on the website.

New Business

SSSA Website Update

Website updates have been completed and look great. The Board noted that Mark McCool is doing a great job updating the website, including its look, feel, and usability.

Amish Games Update

A request was made to expand to five or six games, but the event needs to remain a one-day event, so five games seems likely unless two fields are used at the same time. A Mennonite team may be added. SSSA is not sponsoring any games or activities associated with the games. Event organizers, not SSSA, provide evidence of insurance to the County. Decisions about games were deferred to next month.

Policy on Shirts for Team Sponsors

It is not automatic that shirts are ordered for each team sponsor. A sponsor has to request a shirt prior to or by draft day to be added to the overall shirt order. On motion made, the Board approved this policy.

Team Shirts

A proposal was made to upgrade to tournament-style shirts with the SSSA logo on the front and player names on the back. After discussion, the decision was deferred to a future meeting.

New County Fields

Three new fields for men’s softball should have turf batter’s boxes and home plate areas. The project is expected to be completed in January 2027.

Playoff Format Discussion

Options discussed to determine A, B, and C championships included:

  • Keep current format, two 7-inning games.
  • Three 5-inning games.
  • Single 7-inning game.
  • Single 9-inning game.
  • Break schedule into four seasons with no playoffs; winner of each season is champion.

This will be further discussed at the next meeting.

Rule Changes Approved

Home Plate Line

A proposal was made to add a home plate line and eliminate the physical home plate. After discussion, on motion made, switching to a home plate line was approved and will be implemented at the start of the second half of the spring/summer season, the 11th week, beginning June 29. Coordinators will discuss this with managers ahead of implementation. The safe/out call is not when the foot crosses the line, but when the foot touches the line or hits the ground beyond the line.

Pitching Screen Location

Whether the screen is placed to the left or right of the rubber, no more than one-half of the rubber can be unprotected from the screen. After discussion, on motion made, the change was approved to be effective immediately.
